What a Gmail connection allows
Connecting Gmail is optional. Google’s read-only Gmail permission applies to the connected mailbox. Feednaro uses the sender addresses, trusted forwarders, subject filter and start date you configure to select messages for processing. These application filters do not narrow Google’s underlying permission.
Feednaro reads matching messages, their headers, bodies and supported attachments to prepare supplier offers. It does not send mail, delete messages, change labels or mark messages as read. A linked price list is downloaded only after an administrator explicitly chooses its original email link.
How your information is used
Mail content is used to extract and review supplier product identifiers, prices, currencies, quantities and commercial conditions. Approved values become workspace offers, price history and the outputs or integrations your workspace configures. Source evidence lets authorized workspace members verify those values.
We do not sell Gmail data or use it for advertising, credit decisions or training general-purpose AI models. Use of data received from Google APIs follows Google’s API Services User Data Policy, including its Limited Use requirements.
Optional AI processing
AI extraction requires an administrator to enable permission for the supplier. When enabled, relevant email text and supported file content may be sent to OpenAI to extract structured offer fields. Recognized spreadsheets and CSV files use deterministic parsing where possible. Ambiguous results remain subject to review.
Disabling a supplier’s AI permission stops further AI requests for that supplier. It cannot withdraw data from a request already sent. Requests are made without enabling response storage; the AI provider’s applicable security and retention terms still apply.
Storage and access
Renewable Gmail credentials are encrypted on the server. Original mail content, attachment bytes, extracted review data and decision evidence are encrypted before they are stored in the mail database or private object archive. This protection is separate from the approved product and offer values that the workspace uses as business data.
Mail and offers are scoped to a workspace. Workspace members can view its evidence; only owners and administrators can connect a mailbox, change supplier processing or approve imports. Operational access may be needed to provide support, investigate an issue or restore a backup.
Your controls and retention
You can pause a mailbox or an individual supplier in Mail offers. Disconnecting Gmail removes the stored renewable credential and attempts to revoke its Google grant. You can also revoke access in your Google Account. Disconnecting does not erase previously archived mail, approved offers, history or previously generated outputs.
Stored mail and review evidence are retained until removed through the installation’s data-management process. For access, correction or deletion, contact the administrator responsible for your Feednaro workspace. A deletion request must identify the workspace and connected mailbox; it must also account for derived offers, exports and retained backups. Do not send your Gmail password or authorization token.
